Privacy policy

This is a translation provided for convenience. The French version is the only legally binding version.

This policy describes the practices implemented by easyVirtual.tours in connection with the use of its website www.easyvirtual.tours. In this policy, the term ‘personal data’ means any information relating to an identified or identifiable natural person, whether directly or indirectly.

Data controller

Your personal data is collected by easyVirtual.tours, a simplified joint-stock company (société par actions simplifiée) with share capital of €1,000, registered with the Toulouse Trade and Companies Register under number 900 050 220, whose registered office is at Prologue, 815 La Pyrénéenne, 31670 Labège, France. It is represented by Mr Clément Carrere, President. It acts as data controller.

No data protection officer has been appointed. Any question relating to the processing of your data may be sent directly to the data controller, using the contact details given in 2.5.

Collection and processing of your data

2.1

The data collected

easyVirtual.tours collects your personal data in the following cases:

  • Contact form: name, email address, telephone number, postcode, individual or business (and, if you provide it, the name of the business), type of project and message. To get back in touch with you and send you a proposal.
  • Guide download: first name, email address and, if you provide it, your industry. To give you access to the guide and get back in touch with you about it.
  • Job application: name, email address, telephone number, town or city, position applied for, message and link to your CV. To consider your application.
  • Franchise application: first name, last name, email address, telephone number, target town or area, current situation, planned personal contribution and preferred start date. To get back to you about your franchise project.
  • Browsing: IP address and technical connection data (browser, pages requested), needed to display the website and keep it secure.
  • Agency search: your town or city is estimated from your IP address in order to display the nearest agency. This estimate is not kept by easyVirtual.tours. The ‘Locate me’ button uses your precise location only if you allow it in your browser.

Information marked with an asterisk is mandatory, as it is needed to process your request. The rest is optional. When you browse the website, cookies may be placed on your device, with your consent where the law requires it (see 03. Cookies).

2.2

Legal bases and retention periods

  • Contact requests, guide requests and franchise applications: pre-contractual measures taken at your request. Retention: 3 years after our last exchange.
  • Job applications: pre-contractual measures taken at your request. Retention: 2 years after our last exchange, unless you object.
  • Security and proper functioning of the website: legitimate interest of easyVirtual.tours. Retention of technical logs: 12 months maximum.
  • Audience measurement, advertising, videos and maps: your consent (see 03. Cookies).
2.3

Recipients and service providers

Your data is intended for easyVirtual.tours and, where your request concerns a geographical area, for the agency of the easyVirtual.tours network that covers it. It is never sold.

easyVirtual.tours uses the following service providers, which process certain data on its behalf or provide a service integrated into the website:

  • Vercel Inc. (United States): website hosting. Processes IP addresses and connection data.
  • Sanity AS (Norway): management of the website's content, storage of the requests sent through the forms and register of consent records (see 3.3).
  • Google (easyVirtual.tours' Google Workspace email): sending confirmation emails to the visitor and alert emails to the team after a form is submitted.
  • easyVirtual.tours' request management tool (erp.easyvirtual.tours): receipt and follow-up of contact and guide download forms.
  • GeoJS, ipapi.co and ipwho.is: estimation of your town or city from your IP address, on the agency search pages.
  • Matterport, Inc. (United States): playback of the virtual tours. The tours have their own consent request, displayed when they are launched.
  • Vimeo, Inc. (United States): playback of the presentation video on the contact button, in ‘do not track’ mode: Vimeo does not set any tracking cookie.
  • Google, Microsoft and Meta: audience measurement, advertising, videos and maps, only with your consent (see 3.2).

These service providers are bound to easyVirtual.tours by contract or by their terms of use. They may only use your data for the service provided.

2.4

Transfers outside the European Union

Some service providers are established in the United States or may transfer data there. These transfers rely on the EU–US Data Privacy Framework where the company participates in it or, failing that, on the European Commission's standard contractual clauses. Norway, where Sanity is established, is part of the European Economic Area.

2.5

Your rights

In accordance with the General Data Protection Regulation (GDPR) and the amended French Data Protection Act (loi ‘Informatique et libertés’) of 6 January 1978, you have the right of access, rectification, erasure, restriction of processing and portability of your data, as well as the right to object. You may withdraw your consent at any time. To exercise these rights, please contact us:

Please send us all your contact details (last name, first name, address, email) so that we can take the necessary action as quickly as possible. We will reply within one month.

If you consider that your rights have not been respected, you may lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr).

Cookies

3.1

Your choice

A cookie is a small file placed on your device when you visit a website. On your first visit, a banner asks for your consent, purpose by purpose. Until you have made a choice, only the cookies essential to the operation of the website are used.

Refusing is as easy as accepting: a single click on ‘Reject all’. Refusing does not prevent you from using the website. The virtual tours have their own consent request, displayed when a tour is launched.

3.2

The cookies used

Essential (always active, exempt from consent):

  • evt_consentement (easyVirtual.tours): stores your choices. Duration: 6 months.

Videos and maps (subject to your consent):

  • Google Maps: display of the maps of the agencies and head office.
  • YouTube (youtube-nocookie.com): playback of embedded videos.
  • These services set their own cookies, in accordance with Google's policy. Without your consent, a placeholder replaces the map or the video.

Audience measurement (subject to your consent):

  • Google Analytics 4 (Google Ireland Ltd): pages viewed, browsing paths, origin of visits. Cookies _ga and _ga_*, 13 months maximum.
  • Microsoft Clarity (Microsoft Corporation): clicks, scrolling and anonymised recordings of browsing paths, to improve the pages. Cookies _clck (1 year) and _clsk (1 day).

Advertising (subject to your consent):

  • Google Ads (Google Ireland Ltd): measurement of conversions from our ads, and retargeting. Cookie _gcl_au, 3 months.
  • Meta Pixel (Meta Platforms Ireland Ltd): measurement and retargeting of our Facebook and Instagram ads. Cookie _fbp, 3 months.

Outside this banner: Matterport virtual tours have their own consent request, and the Vimeo player for the presentation video is loaded in ‘do not track’ mode, without any tracking cookie.

Google, Microsoft and Meta may transfer data to the United States. These transfers rely on the EU–US Data Privacy Framework, in which these companies participate.

3.3

How long your choice is kept, and proof

Your choice is kept for 6 months, after which the banner is shown to you again. You will also be asked again if the list of tools changes.

To be able to demonstrate that your consent or refusal was properly obtained, we keep a record of each choice: a random identifier (the same as in the evt_consentement cookie), the date, the banner version and the purposes accepted or refused. This record contains neither your IP address, nor your name, nor any browsing data. It is hosted by our service provider Sanity (Sanity AS) and kept for 13 months.

3.4

Changing your mind

You can change or withdraw your consent at any time using the ‘Manage cookies’ link at the bottom of every page. You can also delete cookies in your browser settings.

Social networks

Our website contains links to social networks such as LinkedIn and Instagram. When you view a page of the website containing such a button, your browser establishes a direct connection with the servers of the social network concerned.

We invite you to read the privacy policies of these social networks to find out the purposes for which they use data, in particular for advertising.
